How to write a no-show policy clients actually accept

A no-show costs you the slot, your time and the money you would have earned. A clear policy protects you, but only if clients read it, understand it and think it is fair.

Keep it short

Three or four lines is plenty. Long rules get skipped. Put it where people will see it before they book, such as your booking page and your bio.

What a good policy covers

  • Notice: how much warning you need to move or cancel, such as 24 hours.
  • Late cancellations: what happens if they cancel after that, for example losing the deposit.
  • No-shows: what you charge or require next time.
  • Lateness: how long you will wait, and what happens if they arrive late.

Use friendly wording

Compare "No-shows will be charged in full" with "Life happens, so please give me 24 hours' notice if you cannot make it. Late cancellations lose the deposit." The second says the same thing and feels like a person wrote it.

Use a deposit for the repeat offenders

A small deposit for new clients or long appointments puts real commitment behind the booking without penalising everyone. Take it through your own payment link or bank transfer and mark it as received.

Be consistent, with room for kindness

Apply the rule the same way each time, but you can always waive it for a genuine emergency. That goodwill is worth more than a few pounds.

Say it in your confirmation message

When a booking is made, include one line about notice. Then nobody can say they did not know.

The takeaway

A short, friendly policy plus a deposit where it matters cuts no-shows without driving clients away. Bookable lets you set a deposit per service and releases unpaid holds automatically.
